Synergy Land Services Ltd. (Synergy) is pleased to offer an opportunity to join our busy team in the position of administrative assistant/junior land administrator to assist with both surface and mineral projects.


The successful applicant must be qualified with at least three years of general office experience, must be capable of handling multiple phone lines, preparing couriers and maintaining the day-to-day needs of the office. In addition, the successful applicant will be required to assist with land administration duties.

Job Responsibilities

Administrative Assistant

  • answering and directing phone calls on a multi-line system

  • greeting staff, clients, guests, couriers and vendors

  • monitoring staff whereabouts

  • ensuring all guests read and acknowledge the visitor/contractor orientation and sign in/out on the register according to Synergy’s HSE policy

  • responding to queries from internal and external sources

  • ordering, distributing and maintaining office and first aid supplies

  • coordinating the distribution of mail, faxes and courier packages

  • assisting with scheduling meetings in boardroom and ordering food

  • tidying the office

Junior Land Administrator

  • a land administration diploma and/or industry work experience are preferred, related industry experience an asset

  • setting up and maintaining project files in company database

  • performing land title (particularly Manitoba land titles) and corporate searches, and obtaining plats

  • ensuring adherence to Mineral Lease processes

  • preparing and self-auditing mineral agreements, related documents and final packages

  • auditing mineral land administrators’ agreements, related documents and final packages

  • preparing requests for third-party agreements and consents

  • commissioning documents

  • analyzing and interpreting survey plans

  • valid Commissioner for Oaths – Manitoba

  • high level of integrity working with confidential documents and information

  • basic knowledge and understanding of Canadian/provincial regulatory processes

  • basic knowledge and understanding of land systems and ability to learn new tasks quickly

  • excellent organizational skills

  • strong team player with effective and open communication skills

  • exceptional written and verbal communication and interpersonal skills
